As personal assistant you support the EMEA Regional President Consumer Goods, the Vice President Business Transformation and his team. Occasionally you support the Financial Shared Services Leaders and other business leaders.

Responsibilities

  • You are responsible for complex and detailed travel arrangements such as flights, train tickets (and visas as needed) lodging and itineraries;
  • You coordinate multiple diaries and preparing agendas for (international) leadership and management Committee meetings. You make sure meeting rooms are reserved and video conferences are prepared meticulously;
  • You plan, book and manage team and company events including off-site events and act as host for visitors, and VIP’s at of seniority levels and provide backup on facility matters during these meetings;
  • You are responsible for the processing of minutes, prepare and edit presentations and documents for meetings;
  • Coordinating audio/video conferences with senior level executive staff;
  • Day to day administrative support for President Consumer Products EMEA and VP Business Transformation including internal and external correspondence. Also you act as the first point of contact for incoming correspondence, calls;
  • Responsible for signing off invoices and processing personal- and credit card expenses.

Qualifications

  • You are an experienced personal assistant with a hands-on a pro-active attitude and approach;
  • English and Dutch fluent in speech and in writing;
  • Highly skilled in MS Office o (Outlook, Word, PowerPoint, Excel), online booking systems (CWT) and a preferably experience with SAP;
  • Experienced in communicating and handling requests from senior and executive management levels and be the gatekeeper for requests towards these management levels;
  • Familiar in setting up video conferencing and conference calls;
  • Highly organised individual, accurate and a flexible attitude.

Competences:

  • Able to multi-task and work under pressure;
  • Experienced in dealing with executives and personnel at all levels;
  • You are able to work independently.
