The Office/Academy Coordinator will project the philosophy of Kao USA Inc. by assisting the Academy Manger with administrative duties and facilitating events at the Academy in Santa Monica.
The Coordinator will exhibit professionalism, attention to detail, and the ability to multi-task in a fast paced environment, while providing excellent customer service to Academy guests. Above all, ensure and project a professional image of Academy to guests at all times.
This is a part time position (25 hours per week), Sunday - Wednesday (sometimes Thursday). The office environment is a Salon Academy, must be comfortable working in a Salon environment.
Welcome Academy guests, sign in guests
Answer phone and direct calls to appropriate person
Maintain data base for clients and models
Maintain inventory, to include, submitting orders to coordinator, unpacking, and re-stocking of product/literature/coffee, beverages, etc.
Maintain literature cabinet, to include: up-date product brochures and workbooks
Assist with set up and implementation of events to include but not limited to ordering lunches, creating name tags, certificates, sign in sheets, etc.
Assist with model calls
Maintain upload and distribute global database
Process e-mails and voicemail messages throughout the day
Report directly to Academy Manger all and any maintenance problems
Assist Academy Manager with various other tasks
High school diploma or greater, 2yrs coordinator experience
2 or more yrs. Customer service related experience
Must be able to work Sundays
Previous experience problem solving and troubleshooting delicate issues
Previous experience with salon software, services and retail marketing a plus
Project a strong knowledge of salon environment.
Excellent customer service and communications skills
Extensive understanding of event procedures
Always project and promote positive and enthusiastic attitude
Highly motivated to promote overall features of Academy
Understand software and facilitate to others
Knowledge of computer programs such as Microsoft word, Excel, PowerPoint
